The Grant Administrator is responsible for organization-wide compliance with government contract and other funding fiscal reporting requirements. The Grant administrator will also assist in maintaining the general ledger, budget information and analysis of financial data to assemble and maintain all financial and budget information that is related to government contracts and other funding sources.

Essential Duties and Responsibilities

  • Responsible for monthly financial reporting to government agencies and other sources
  • Compiles information by reviewing programmatic reports in a timely manner to funding sources per contract requirements
  • Develops and maintains grant record systems in all divisions by creating and/or revising forms as needed. Training all staff in proper documentation of client data
  • Collaborates with client services by reviewing data collection forms and reviewing data for grant application process; overseeing two client services databases (in-house and state)
  • Researches regulations for all agency grants by reviewing regulatory notifications and other sources of information and maintaining a comprehensive list of reporting requirements for each contract/funding source
  • Manage timely collection of requests for reimbursement for funding sources
  • Conduct meetings with program personnel and management to strategize on contract compliance issues; budget forecasting and budget modifications
  • Works with Financial Controller and CFO to develop organization-wide cost allocation plan, integrating organization budget and restricted contract funding
  • Represent organization with respect to periodic audits performed by funders
  • Maintain current grant budget information in the accounting system for funding sources
  • Review and analyze budget to actual information for the funding sources and provide program personnel with relevant information and recommendations for effective use of resources
  • Monitor need for budget modifications and process required documents
  • Review and record receivables and deferred revenue on a monthly basis
  • Run monthly reports for review by and CFO
  • Other duties as assigned

Required Skills

  • Excellent interpersonal, verbal and written communication skills, the ability to work cooperatively, good time management and managing multiple priorities
  • Proficiency in computer software, i.e. Microsoft Office (Excel) and accounting software(Quick books is a plus)
  • General understanding and ability to apply accounting concepts
  • Attention to detail and organizational skills
  • Ability to learn and work within agency procedures and guidelines
  • Ability to exercise sound judgment in tracking sources of errors and in using established guidelines to determine the necessary corrective action

Minimum Qualifications

  • (A) Bachelor’s Degree in Accounting, non-profit experience a plus;
  • (B) Two or more years of experience in fiscal grant administration


This position is a full-time exempt position.
