REPORTING REQUIREMENTS
Funders and Allowable Services
Understanding allowable services and definitions is essential to ensure accurate reporting to funders. Each staff position is funded by particular grants. Sometimes, staff can only bill to these particular grants funding their position. However, other granters require programs to report all eligible services regardless of funder. Staff should be aware of which grants fund their work and the allowable services permitted under each grant.

Database Reporting Support
TCFV supports data reporting across all systems. Our services range from one‑on‑one technical assistance to broader training opportunities and tip sheets that help programs strengthen their reporting practices. We also host group sessions, such as Data Corner, where we foster a collaborative space for idea sharing and peer learning. As funder guidance continues to evolve, TCFV regularly reviews and updates our materials to ensure programs have access to the most current and accurate information.

Frequently Asked Questions
We cannot recommend a single database for all organizations, as the choice depends on your program’s specific needs. When exploring options, consider factors such as setup and maintenance costs, the level of technical support required, and whether the system can stay compliant with current reporting standards.
Funders expect reporting to be consistent, accurate, and comprehensive, but your database should also support your internal goals. You are encouraged to collect and maintain any additional data that benefits your program, even if it goes beyond what funders require.
Data reporting requirements depend on the specific funder you are working with. Each funder has its own standards, timelines, and reporting expectations, so your first step is to identify which funder’s guidelines apply to your program. You can find general data reporting resources throughout this website but always refer to the data guide provided by your funder for the most accurate up-to-date instructions.
Although different databases may vary in how you enter information or generate reports, the reporting standards will remain the same regardless of the system you use.
If you receive HUD funding, be aware that reporting requires a comparable database. Victim service providers cannot upload client-level data into the Homeless Management Information System (HMIS) due to VAWA confidentiality provisions.

Extension requests may be approved by HHSC in extenuating circumstances and are reviewed on a case‑by‑case basis. To request an extension, email familyviolence2@hhsc.state.tx.us by the reporting due date.
